KEY FEATURES THIS UPDATE
- HR: A new applicant portal has been created that provides your applicants a better user experience when applying for jobs.
- TLM: A new step for Auto Approve is now available for the Timesheet Change Request workflow. When the step is reached, the change request is approved automatically.
- Payroll: Users can customize the types of messages that display on the Payroll Pre-Check Report.
- Cross-Prod: You can now upload multiple Employee Documents to the application via the Mass Upload action under HR > HR Maintenance > Employee Documents.
- Cross-Prod: You now have the ability to mass edit security profiles.
Scheduler
- The Employee Schedule Cycle report has been enhanced to include additional columns of information; Initial
Cycle Start Date and Last Effective Change Date. The information for these fields is defined in the Work Schedule Profile.
- After adding a time off from the schedule, and once it has been posted, selecting the time off now contains two links
to Modify and Delete. Modify changes the time off and the saved change is reflected on the schedule and timesheet, and
Delete removes it from both locations.
- When adding a new time off from the schedule, the default From and To date fields were blank, even though
the transaction was initiated from a choice made on a specific calendar date. With this release, both dates pre-fill with the
date selected on the calendar.
- When adding a new time off in the schedule, the list of time offs was limited to the time offs available to the
employee for request, not the manager. Since there may be a difference in what may be posted by a manager, the list of time
offs now reflects those of a manager.
- A new Open Shifts panel is available for display and use above the Employee Shifts
schedule grid. Grid display can be controlled by user with the expand or collapse option. Shifts within this panel can be
dragged to employees for assignment or can be copied then pasted as expected.
- A new Delete All Open Shifts option is available in the new open shift's ellipse menu. The option deletes the
open shifts that are visible and filtered on the screen. On the Advanced Scheduling month view, the option allows for deleting
all shifts on a schedule.
- With the new look toggle enabled, selecting multiple open shifts now allows you to copy them and pate them onto
the schedule. A Paste icon displays once the shifts are selected and appears where the first open shift in the sequence can be
pasted.
- The Modify Employee Schedules page was recently updated to allow for mass updates to future employee
schedules. With this enhancement, the date range selection for the profile within the Modify Employee Schedules page has
been increased to one year.
- When adding a time off directly from the schedule, after choosing the time off type, the Request Type field allows
for selection of Multiple Days. When chosen, 'From' and 'To' date fields display allowing for entry of multiple dates. Also,
when Dynamic Duration is selected, it applies to each day of the specified date range.
Cross Product
- Both advanced and basic custom column formats will be validated to avoid errors that may result from non-configured
formats. If a custom column had a format prior to this release that fails validation, the Format field in the Manage
Custom Column pop-up window or the Column Settings pop-up window will be blank and flagged with a warning icon that the previously defined format is no longer supported.
- Users can now search by column names in the Manage Custom Columns tab in addition to searching by column
variables.
- Advanced Mode Custom Column expressions now support the FormatDate() function. This helps users sort, filter,
and group outputted values or build charts that include the outputted values.
-
Users can now use Employee Default Cost Center columns in certain reports when creating custom
column expressions in Advanced mode.
- Users can now successfully migrate their expressions from the Basic mode to the Advanced mode without
removing the Value() and ToDouble() functions the expressions may contain.
- You can now upload multiple Employee Documents to the application via the Mass Upload action under HR > HR
Maintenance > Employee Documents.
- You can add the Mass Upload column to the Employee Document report and the Employee Profile widget. Here
you can retrieve your company's Document Type IDs, which are needed to use the Mass Upload feature.
- You now have the ability to mass edit security profiles. When you navigate to Profiles/Policies > Security, the Mass
Edit Profiles option is available for selection. If you select one or more of the profile checkboxes and then select the Mass Edit
Profiles button, the Mass Edit Profiles screen displays.
HR
- The social security number verification service is used to verify social security numbers for W-2 reporting,
not to determine if an employee has provided an accurate SSN for employment authorization. Per Compliance, the Verify
social security # button has been removed from the Form I9 screen to avoid any confusion.
- New Configuration Option Added to Include or Exclude Salary and Rate Change Date in HR Settings
- In the Learning Academy, the 'Show Me How' banner was removed from the right side of all the Learning
solutions pages. The banner had a redundant function that was not visually consistent. To continue to access the 'Show Me
How' content, select the Help button on the bottom right of any Learning solution page and then select 'Show Me How' from
the pop-up menu.
- In the Assign Employee pop-up window, located under Settings > HR Setup > Positions, the Is Primary Assignment
info icon message has been updated.
-
A new applicant portal has been created that provides your applicants a better user experience when applying for jobs. Key
features includes eliminating the need for applicants to create an account to apply for jobs, better auto-fill of the applicant forms, optimized for mobile devices, all around better navigation and user experience.
- To stay compliant with Indeed's policy of identifying any EEO related questions and processing them differently
than other information filled out in their job applications, we have added a new Is this an EEO related question? checkbox
setting in the 'Question Settings' of the job application questionnaire (HR Setup > Form Questionnaires)
- For users completing a termination for an employee with outstanding To Do items, you will now have the option
of being able to delete or retain the outstanding To Do items. This will allow you to either keep them and take action yourself
or delete them.
Timekeeping
- When the Carry Over rule is set to 'First Day of Last Pay Period', the carry over rules and amounts were not being
properly applied and allocated to the employee balance, resulting in incorrect balances for employees. Therefore,
adjustments have been made to this rule so carry over accruals are applied on the date properly, the balance is adjusted, the
new value is applied to the current accrual period and then carried into the subsequent accrual period.
- A new Open Expense Reports report was created for managers and admins to see open expense reports for their
employees. This is useful when using the import or API to bring expense reports into the system, as managers and admins can
use this new report to view open reports that have been created. The report is located under My Team > Expenses > Open
Expense Reports.
- A new import option is available that allows for the creation of an expense report or the addition of expenses to an
existing report.
- When submitting a report without a receipt, an error message displays indicating the need to include a receipt and a error
icon displays next to the expense name.
- Clients using Expense Tracking need a way to include incurred expenses against specific projects if they
have a direct relationship by means of a cost center. Expenses tied to a cost center may now be displayed within Project
Costing. A new option has been included in the Project Costing Setup widget (Global Setup > Company Setup > Global Policies
- Project Costing Setup) for Enable Expense Tracking.
- The expense amounts are now shown on the Project Budget report in a new column for Total Expense Logged
column. In addition, the expense has been removed from the Logged Budget.
- Time Record Day of the Week and Counter Record Day of the Week columns were added
to the Rate Table import template. After data is imported, the corresponding values display under the new Day of the Week
and Counter Record Day of the Week columns in the Rates widget on the Edit Rate Table page.
- When multiple time offs were requested on the same day and each type had specific settings, the time off limits
were applied per type, allowing the total amount of time to exceed the profile limit. Now limits set in the profile consider the
sum of all the different time offs applied on the day. When the profile limit and the setting per time off limit are both enabled,
the lowest limit is the value enforced.
- A new step for Auto Approve is now available for the Timesheet Change Request workflow. When the step
is reached, the change request is approved automatically.
- When a cancel time off request for multiple days is submitted, these requests now combine so
that the manager receives a single approval item. This item provides the manager with options to approve/reject all
cancellations with one click of approve/reject, or they can select individual days to approve or reject.
- When requesting a change to a timesheet, the process for approval has been the same regardless of the type
of change requested, as there was no way to identify the type in the workflow. Now, in the Start > On Created
step of the Timesheet Change Request workflow, a filter allows you to select a change request type. From this step, design the
workflow specifically for this type. For different types of change requests, you can add multiple 'On Created' steps and
workflow paths.
Payroll
- Users can customize the types of messages that display on the Payroll Pre-Check Report (Team > Payroll > Process
Payroll). On the Payroll Pre-Check Report, a new button is now available, Manage Messages. When selected, a Manage
Messages pop-up window displays, where you can toggle on/off message types.
- The 1099-NEC report page now displays only one form per employee, with all relevant information populated.
Additionally, a new View By State button is now available, similar to the View By State button on the W2 report page. When
this button is selected, users are navigated to the 1099-NEC By State page, where all forms and related information are
organized by state.
- When users choose the manual option to create a new W2C by selecting the Add New W2C button in both
previously reported and corrected information, the State Code and State ID will now populate Box 15 on the W2C form,
including for employees who have worked in multiple states.
