UKG Release Notes – May 2025 – R99

KEY FEATURES THIS UPDATE
  1. HR: To make benefit plans easier to create and maintain, a new Benefit Plan Designer is available.
  2. TLM:  A new page is available under My Team > Expenses for Add Expense Report. This includes an employee selector and options to add expense attributes. A new report is then created for expenses to be added.
  3. Payroll: The 2025 Arkansas AR4EC has been uploaded.
  4. Cross-Prod:  To facilitate searching from the Report Hub on mobile devices, the Search field will expand to allow multiple lines when displayed on a mobile device.
  5. Cross-Prod:  The Modify button that appears in the To-Do mailbox has been renamed to "Submit" so that it is more intuitive for users. When you click on the My To-Do mailbox, then the Modify button on the assigned Custom Form, the next Modify button is renamed to Submit and is used to finalize the form details. 
Scheduler
  1. The user experience for the Add Shift has been enhanced for ease of use, improving open shift visibility and shift assignment when the new look and feel toggle is enabled.
  2. At the top of the Employee Shifts window, the open shift headcount and hours are displayed. This represents the number of employees scheduled for the day and the sum of hours, based on the applied filters. This information automatically refreshes on saved changes.
  3. It has not been possible to paste a copied shift to a past date. Now, when a shift is copied, it may be pasted to a past date(s) as it does for a future date.
  4. The Advance Scheduling > Schedules report now has a column available for Schedule ID. It is useful to have this column to make debugging easier to fix support issues or tests. 
Cross Product
  1. To facilitate searching from the Report Hub on mobile devices, the Search field will expand to allow multiple lines when displayed on a mobile device.
  2. When the Documents widget was used on a dashboard, it did not show any documents which the employee has access to; when the employee clicked on 'Documents' within the widget, it redirected them to the Documents report page where a list of these documents was displayed. This has been fixed, and the Documents widget on a dashboard will now show a list of documents as expected.
  3. The Modify button that appears in the To-Do mailbox has been renamed to "Submit" so that it is more intuitive for users. When you click on the My To-Do mailbox, then the Modify button on the assigned Custom Form, the next Modify button is renamed to Submit and is used to finalize the form details. 
  4. When a link is added to a Custom Form and is marked as Read-Only, you can open the link, but you do not have the ability to edit the link in the field. If a link is added to a Custom Form and it is not marked as Read-Only, you can open the link, and you can also edit the link within the field.
HR
  1. To make benefit plans easier to create and maintain, a new Benefit Plan Designer is available. Not only can you create new benefit plans with the designer, but existing benefit plans can also be edited and maintained with it. There is nothing to enable and the new menu item will be available under Settings > Profiles/Policies > Benefits > Benefit Plan Designer. The legacy method of creating and maintaining benefit plans is still available and is located under Settings > Profiles/Policies > Benefits > Plans.
  2. New Effective Dated 'Benefit Salary' Columns Added to Employee Information Report Page
  3. Succession Profile Column Added in Positions Report Page
  4. Under HR Setup > Applicant Tracking/Recruitment > Applicant Profile Setup in the Contact Info tab, you can edit the contact information to require applicants to enter their Cell Phone.
Timekeeping
  1. Two adjustments have been made to the Accrual Detail report. First, the filter for Employee Status has been defaulted to only display non-terminated employees. Second, the report is sorted in ascending order by the Record Date column by default.
  2. When the 'Download PDF' option is selected in the Employee Profile, the accrual balances were not included in the report. Now, with this enhancement, they may be included. An Accruals widget is available that allows you to select to include the content as part of the report. The Accruals widget is also available as an option in the Jump To menu.
  3. To ensure you can provide accurate translations for your employees when custom or user-defined fields are present in your company, the Custom Translations option under the Global Setup menu now has support for cost centers. You can import translations fields for cost center and their abbreviation for where they appear on reports, profiles, statements, timesheets, and more.
  4. At times, a manager or admin is required to create and/or submit an expense report for an employee or a manager. To make this possible, a new page is available under My Team > Expenses for Add Expense Report. This includes an employee selector and options to add expense attributes. A new report is then created for expenses to be added. The Created By field reflects the name of the one who created the report. Once a report is completed, it may be submitted for approval. 
  5. A new Delete Expense option has been added to the Expense Reports permissions under Manager Permission and Group Manager Permissions This allows for the deletion of an expense report in the Open status and the Rejected status from the Open Expense Report and the Expense Report respectively. 
  6. Multiple reasons for errors when using the Time Entry Imports and Extra Pay Imports display simply as 'Failed to create new entry'. Now, new specific error messages indicate the reason for failure.
  7. The process of auto submission and approval of timesheets looked for any open timesheets that were open one day past the last day of the period. Now, the process generates as expected but excludes timesheets specifically opened for corrections. These ones are skipped in the auto approve and auto submit jobs.
  8.  A new option has been added to the Company Setup > Project Costing Setup widget for Enable Project Based Cost Center Limits. If an employee is removed from any open project, the system checks to verify if the employee is part of any other open project.
Payroll
  1. In an employee's pay statement, payroll admins can now search for a home address that was used for an employee in a previous payroll. This will link the pay statement back to the exact address snapshot record, which ensures the YTD buckets are updated as intended by the user. This is similar functionality to what has been available for work addresses on the individual earning record on a pay statement.
  2. Employees can now download the Total Compensation Statement PDF (My Info> My Pay > Total Compensation Statement) in the language that is set in their Employee Profile or locale default.
  3. The 2025 Arkansas AR4EC has been uploaded.
  4. A warning message will now display upon save at the top of the Record of Employment form (Team > Payroll > Forms Record of Employment) if there is a finalized pay statement with a pay period that is after the last day paid.
